When your customer(s) requests data from your organization, you will receive an email notification. You can see and manage all incoming and rejected requests from the Request for My Data page, under the Reporting tab in the navigation menu.
This article explains how to see and accept or reject a customer’s request.
Receiving a Request from Your Buyer
When your buyer sends a request through Secaro, a unique invitation is sent directly to a key contact within your organisation. If you have received this request, please use the sign-up link in the email to register and follow the on-screen steps to complete your account setup. It takes 2 minutes. Please note the following important points:
- As the recipient of the buyer request, you are the designated key contact for your organisation. Please register on the platform first before inviting others.
- The invitation link is unique to you and is non-transferable — it cannot be forwarded to or used by a colleague.
- Once registered, you can add all relevant users from your organisation directly through the platform.
- Once you've added the right colleagues, you can remove yourself as a user at any time — so don't let that stop you from getting started.
Registration is completely free, and you can add an unlimited number of users. We strongly encourage you to add all relevant people from your organisation so that the right team members can collaborate and contribute to your assessments. You can find out how to add users here.

See incoming requests
- Log into Secaro.
- Click the Manage tab to open the drop-down menu.
- Click Requests for my data. You’ll see all requests listed under one of three tabs:
- ⌛ Pending: New requests waiting for your response.
- ✅ Accepted: Requests you have agreed to and are completing.
- ❌ Rejected: Requests you have declined.
Customer requests are split into different types of requests under these tabs – organization, facility, or product.
This is so you can see exactly what data is being requested from your organization.
Each request includes your customer’s name, the date for when your response is required, and a brief description of what is being requested and why.
Accept a request
- Click an open request from the Pending tab.
- Review the request in the pop-up window that appears.
- If you need more information from your customer:
- Click Comments to open a dialog box with your customer.
- Send a direct message to them regarding what you need to know.
- Any dialog you have with customers is managed by opening the request.
- When your customer replies, a notification message icon will appear in bold on the request indicating a new comment has been added.
4. When ready, click Accept and assign.
- Check the box next to the facility responsible for fulfilling the request.
- Click Create new facility if the relevant facility does not appear.
💡Follow this guidance to create a new facility.
Reject a request
- Click an open request from the Pending tab.
- Review the request in the pop-up window that appears.

- When your customer replies, a notification tag will appear on the request indicating a new comment has been added.
4. If you do not wish to proceed, click Reject. Enter the reason you are rejecting your customer’s request.
Your response will be recorded and shared with your customer. You will now find the rejected request under the Rejected tab on the Requests for my data page.
💡If at any point you wish to accept the request, you can do so by opening the rejected request and clicking Accept in the pop-up window that appears. Your request will then move to the Accepted tab on the Requests for my data page.

You will only see a report once a customer sends you a data request. Secaro now uses a buyer-request model, meaning reports are created when your customer requests data from you.
This is expected behaviour under the new reporting model.
Customers typically send requests at the start of a campaign, and you will receive an email notification when this happens.
Check your “Requests for my data” page to see if you have received any requests. If not, you may wish to contact your customer to confirm whether they require your data this year.

Your customer may not include all relevant facilities in their request if they are not aware of your full structure.
You have two options:
Option 1: Assign additional facilities beyond those requested. We recommend adding a comment to explain this so your customer can update their records.
Option 2: Report only on the requested facilities. If you need to include additional facilities, contact our support team for guidance.

Facilities are assigned when you accept a data request, but you can update them afterwards if needed.
To change the assigned facilities:
• Go to your accepted data requests
• Select the relevant request
• Update the facility assignment to reflect the correct reporting structureWe recommend adding a comment to explain any changes so your customer can update their records.

No. In most cases, you can use a single report to respond to multiple customers.
In Secaro, customers can request either facility-level or organisation-level reporting.
Facility-level: If multiple customers request data for the same facility, you can assign those requests to one facility report and submit the data once.
Organisation-level: If a customer requests organisation-level reporting, you will complete this in the organisation report section. Multiple customers can be linked to the same organisation report.
As long as requests are assigned to the same facility or organisation report, you do not need to enter the same data multiple times.
